A hotel ballroom gives you a lot to work with. High ceilings, neutral walls, and a blank-slate floor plan that can accommodate almost any layout. What it doesn’t give you, at least not by default, is warmth. Most ballrooms feel impersonal until someone makes deliberate decisions about texture, color, furniture, and light. That’s where rentals come in. The right pieces don’t just fill a ballroom. They transform it.

Why Hotel Ballrooms Need More Than Tables and Chairs

How do you make a hotel ballroom feel less cold and impersonal?

The answer is layering. A ballroom styled with tables, chairs, and linens alone will look complete but feel flat. Warmth comes from introducing multiple surfaces, textures, and furniture types that give the eye somewhere to travel and guests somewhere to settle. Lounge areas break up the floor plan. Textured linens add depth at the table level. Decorative lighting softens overhead fixtures that are often too bright and too cool for a reception atmosphere.

What rentals help soften a large event venue?

A few categories do the most work:

  • Lounge furniture creates defined zones and gives guests a destination beyond their assigned seat. A well-placed sofa and chair grouping anchors a corner of the room and makes the overall space feel more intimate by giving it edges.
  • Textured linens in velvet, jacquard, or floral prints add visual warmth at the table level that solid, flat linens don’t provide.
  • Decorative lighting like cordless tabletop lamps layers in warm ambient light that flatters the space and the guests in it.
  • Charger plates and glassware add depth and dimension to the tablescape, especially when layered with napkins and multiple glassware options.

How do you create intimate spaces in a large ballroom?

Furniture arrangement is the primary tool. Lounge groupings positioned along the perimeter or in natural alcoves of the room create visual boundaries that make a large space feel scaled to the people in it. Cocktail tables and barstools near the bar or dance floor give guests a place to land between moments without retreating to their dinner seat. The room starts to feel less like a single large space and more like a venue with distinct areas, each with its own purpose and feel.

Styling a Ballroom Around the Venue: Two Approaches

The most effective ballroom wedding designs work with the venue rather than against it. That means reading the existing architecture, color, and light and choosing rentals that extend those qualities rather than fight them. The Veranda

The Grand Ballroom brings its own texture. Warm wood walls and an ornate ceiling mean the room already has strong character. The design opportunity here is contrast rather than matching. Willow Chairs in Black read crisp and contemporary against the warm wood interior without feeling out of place in a formal setting.

Rose Bloom and Vine Linens are the element that brings the combination to life. The floral print is whimsical and warm, and in a room with this much architectural presence, it holds beautifully. Copper Glass Chargers bridge the black chairs and the floral linen with metallic warmth. Layer in a textured napkin and multiple glassware options and the place setting has genuine depth. That layered quality is what makes a ballroom table feel designed rather than just set.

Luxury Nashville Wedding at the Hermitage Hotel

Kacy and Michael’s luxury Nashville wedding was a celebration of style and sophistication, beginning with an elegant rehearsal dinner at the Hermitage Nashville and culminating in a stunning reception at the Nashville Public Library. From the custom champagne tower to the literary-themed reception, every detail was thoughtfully curated to reflect the couple’s unique taste. With the help of Southern Events, their vision came to life through carefully selected rentals that added an extra touch of luxury and charm to their unforgettable celebration.

Sipping in Style

While the pair didn’t host a hotel wedding, the Hermitage Nashville was an idyllic backdrop for their sophisticated rehearsal dinner. The celebration started with an elegant cocktail hour, where guests gathered around our 6-foot Thompson White Bar, elevated with a custom bar menu on a banner. The real star of the show however was the champagne tower. It featured Gatsby Coupe Glasses filled with champagne and edible flowers, delicately stacked atop the Chelsea Marble Top Bar. To keep guests comfortable, tables in blue patterned linens and wood Harlin Dining Chairs were placed nearby.

A Refined Rehearsal Dinner

In addition to fun spring-inspired cocktails, Kacy and Michael’s guests enjoyed a catered dinner in the Veranda. It was a stunning backdrop, with the floor-to-ceiling cathedral windows and a ceiling painted to look like blue cloud-filled skies. Here, a single banquet table was outfitted in ivory linens, contrasted by classic black Chiavari Chairs with white padding. Place settings were simple, featuring White Coupe China, Bradley Flatware, and Pure Glassware. While fresh flowers and bright blue menus provided a romantic splash of color.

Dinner & Dancing Among the Stacks

The couple’s ceremony took place in the lobby of the Nashville Public Library. Afterward, the wedding reception was hosted in the Grand Reading Room. Guests spent an evening in elegance with a dash of scholarly charm, surrounded by rich wood paneling and shelves filled with literary classics. The wedding party sat at a long banquet table and guests at round. The crisp white table linens offered a sleek look in contrast to the cozy wood Cross-Back Chairs. Set against our luxurious Ophelia China and Austin Gold Flatware, soft blue linens were a fun splash of color.

Following dinner, guests were treated to the wedding cake. It was perched beautifully atop a table draped in our soft blue-hued Somerset Linens. A Full Oval Bar was close by, the perfect size to accommodate the newlywed’s large guest count. Meanwhile, a black and white dance floor in combination with the vaulted ceilings offered the illusion of a luxurious ballroom wedding. A custom stage with white podiums lined with florals made for an elegant backdrop, in addition to housing the live band.

We love a tented reception for a lot of reasons. The way color looks under sailcloth is near the top of the list. 🌿

Shades that might feel bold indoors take on a whole different quality in filtered natural light — warmer, softer, and somehow exactly right. It's one of those things you have to see in person to fully appreciate.
